    Abstract Submission Rules & Regulations


    Preamble

    The following guidelines outline the requirements for abstract submission, review, and presentation at the 2nd Central Asian Endourology Congress (CAEC26).

    All authors are strongly encouraged to read these instructions carefully before preparing and submitting their work.

    Best 10 abstracts will be given a chance to present their work on the podium.

    Best abstracts are guaranteed to have their abstracts published in CAU Journal of

    Medical Science.

    1. ​The submitting author must also be the presenting author.
    2. All submitted work must be original and not previously published in full. ​Abstracts or data presented elsewhere must be fully disclosed at the time  of submission.
    3. ​Each listed author must have made a meaningful contribution and approved the final version of the abstract.
    4. ​Abstract submission implies consent for publication in the official CAEC26 materials and related media.
    5. ​Research involving human or animal subjects must have appropriate ethical and institutional approval.
    6. ​Case reports may be accepted only if they demonstrate high scientific relevance and clear methodology.
    7. ​All abstracts must be written in English. Submissions from multiple institutions are welcome if all affiliations are clearly listed.



    1. Abstracts should be submitted preferably through the official online form: at bottom the page
    2. Alternatively, abstracts may be emailed to: info@caecuro.com
    3. Submissions sent through any other platform or address will not be reviewed.
    4. A confirmation email will be sent upon successful receipt of the submission.
    5. Authors are responsible for ensuring that their submission is complete,    accurate, and properly formatted.
    6. Abstracts may be edited or replaced by resubmitting an updated version before the official deadline.
    • December 1, 2025 – Start of Abstract Submission
    • ​January 30, 2026 (23:59 GMT+5) – End of Abstract Submission
    • ​March 3, 2026 – Notification of Results


    1. After the deadline, no edits or replacements will be accepted.
    2. ​Withdrawal of an abstract may be requested only until a designated date communicated by the Secretariat.
    3. Late-breaking abstracts will be considered only if they contain novel data unavailable by the standard deadline and meet the criteria set by the ​Scientific Committee.
    1. Authors must select the most appropriate topic category for their submission (the topic list will be available on the CAEC26 website).
    2. Presentation formats include:

      1. ​ ​Oral / Podium Presentation
      2. ​ ​Poster Presentation
      3. ​ ​E-Poster or Video (if applicable)
    3. The Scientific Committee will determine the final presentation format and session allocation based on scientific merit, topic relevance, and ​program capacity.
    4. ​Trial-in-Progress abstracts may include only Introduction & Objectives and Materials & Methods sections.
    1. Abstracts must be written in English and submitted in either Word (.docx) or PDF (.pdf) format (for email submissions).
    2. Title Requirements:

      1. ​ ​Clearly reflect the study focus.
      2. ​ ​Do not include institutional names or abbreviations in the title.
      3. ​ ​Avoid ending the title with a period.
    3. Authors & Affiliations:

      1. ​ ​Provide full first and last names (no titles or degrees).
      2. ​ ​Indicate the presenting author with an asterisk (*) or underline.
      3. ​ ​Include institution, city, and country for each author.
    4. 4. Abstract Body Structure:

      1. ​ ​Introduction & Objectives
      2. ​ ​Materials & Methods
      3. ​ ​Results
      4. ​ ​Conclusion
    5. Length: approximately 250–300 words
    6. ​Figures and Tables:

      1. ​ ​Optional. One figure or table (JPG or PNG format) may be included.
      2. ​ ​Each figure or table counts as 500 characters toward the total character                  limit.
    7. Authors are responsible for ensuring the accuracy of spelling, grammar, and data. No editorial revisions will be made by CAEC26.
    1. ​All sources of funding must be declared at the end of the abstract or in the submission form.
    2. ​Authors must disclose any actual or potential conflicts of interest.
    3. ​For studies involving human or animal subjects, the author must confirm that all procedures were approved by the Institutional Review Board ​ ​(IRB) or ethics committee and conducted in accordance with the Declaration of Helsinki.
    4. ​Submission implies permission for publication and distribution of the abstract in CAEC26 materials and media.
    5. Authors who prefer their abstract not to appear in the official publication must notify the Secretariat in writing before the stated deadline.
    • November 1, 2025 – Start of Abstract Submission
    • ​January 1, 2026 (23:59 GMT+5) – End of Abstract Submission
    • ​February 1, 2026 – Notification of Results

    1. ​All submissions will undergo double-blind peer review by independent reviewers appointed by the CAEC26 Scientific Committee.
    2. ​Evaluation criteria include originality, methodology, clarity, scientific value, and clinical relevance.
    3. ​The decision of the Scientific Committee is final and not subject to appeal.
    4. ​Presenting authors will be notified of acceptance or rejection via email.
    5. ​Accepted abstracts will be published in the CAEC26 Official Program and/or Abstract Supplement.
    6. The Committee reserves the right to request raw data or clarification if required.
    1. ​Presenting authors must register for CAEC26 by the registration deadline.
    2. ​Accepted presenters must confirm their participation within 7 days of receiving the acceptance notification.
    3. ​Substitution of the presenting author is permitted only upon written request and approval by the Scientific Committee.
    4. ​All participation costs (registration, travel, and accommodation) are the responsibility of the presenter.
    5. Detailed presentation instructions (for oral, poster, or video sessions) will be provided with acceptance notices.
    1. ​Withdrawal requests must be submitted in writing to info@caecuro.com (cc: caec25@outlook.com) before the withdrawal deadline.
    2. ​Changes to author names, order, or affiliations cannot be made after the submission deadline unless explicitly approved by the Scientific ​ ​ ​Committee.
    3. ​Late-breaking abstracts will be accepted only under defined criteria and upon approval by the CAEC26 Scientific Committee.
    1. ​Accepted abstracts will be published in the CAEC26 Abstract Book (digital and/or printed) and on the CAEC26 website unless the author opts out ​in advance.
    2. ​Abstracts must not be published elsewhere in full before the Congress unless prior written permission is obtained from the CAEC26 Secretariat.
    3. ​Accepted abstracts may be assigned a Digital Object Identifier (DOI) and indexed in future CAEC proceedings or partner publications.
    4. Any reuse or republication of materials must acknowledge the CAEC26 Congress as the original venue.
    1. ​The Organizing Committee reserves the right to revise deadlines, presentation categories, or session formats as required.
    2. ​The accuracy of author details and institutional affiliations remains the sole responsibility of the submitting author.
    3. ​Incorrect or incomplete information may affect the review outcome or program scheduling.
    4. In case of unforeseen circumstances (e.g., travel restrictions, global events, or public health concerns), CAEC26 reserves the right to modify the  format or delivery method (in-person, hybrid, or virtual).
